This Privacy Policy describes how AllPlanned("we," "us," or "our") collects, uses, and shares your personal information when you use our mobile application and related services (collectively, the "Service").

Information We Collect

Account Information

When you create an account, we collect information through Firebase Authentication and Google Sign-In, including your name, email address, profile photo, and unique user identifier.

Health & Wellness Data

We collect the following health and wellness information that you provide:

  • Habits: Habit names, categories, schedules, completion status, and streak data
  • Meal Plans: Dietary preferences, meal logs, recipes, and nutritional information
  • Exercise Plans: Workout routines, exercise logs, fitness goals, and activity data
  • Sleep Logs: Bedtime and wake-up times, sleep quality ratings, and sleep patterns
  • Mood & Wellness: Mood entries, wellness check-ins, and related notes

Calendar & Email Data

With your explicit authorization, we access data from the following third-party services:

  • Google Calendar: We request the calendar.events and calendar.readonly scopes to read your calendar events and create events on your behalf
  • Gmail: We request the gmail.readonly scope to scan your inbox for action items, deadlines, and events. We do not read, modify, or delete your emails beyond extracting actionable information
  • Microsoft Outlook Calendar: We request the Calendars.ReadWrite scope to read and write calendar events
  • Microsoft Outlook Mail: We request the Mail.Read scope to scan your inbox for action items and events. We do not modify or delete your emails

Voice & Image Data

  • Microphone: We access your device microphone for voice-based AI coaching interactions. Audio is processed in real-time and is not stored permanently
  • Camera & Photos: We access your device camera and photo library for profile photos and any images you choose to attach to habits or meals

Demographic Information

To personalize your wellness experience, we may collect your date of birth, gender, height, and weight. This information is used to tailor meal plans, exercise recommendations, and health insights.

AI Interaction Logs

We store logs of your interactions with our AI coaching features, including prompts and responses, to improve the quality and personalization of our service.

How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Generate personalized AI coaching recommendations, daily briefs, and wellness plans
  • Sync and coordinate your schedule across connected calendars and email accounts
  • Track your habits, goals, and progress over time
  • Send you notifications, reminders, and daily briefings
  • Analyze usage patterns to improve our AI models and features
  • Respond to your support requests and communications
  • Comply with legal obligations

Third-Party Integrations

Google APIs

AllPlanned's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only access the Google data necessary to provide features you have explicitly enabled, and we do not use this data for advertising purposes.

Microsoft APIs

We access Microsoft 365 data (Outlook Calendar and Mail) through the Microsoft Graph API. We request only the minimum scopes necessary (Calendars.ReadWrite and Mail.Read) and comply with Microsoft's terms of use and data handling requirements.

Zoom

If you connect Zoom, we access your meeting information to provide meeting prep briefings and scheduling features. We do not record or store Zoom meeting content.

Data Sharing & Disclosure

We do not sell your personal information. We may share your information in the following limited circumstances:

  • Service providers: With trusted third-party vendors who assist us in operating the Service (e.g., cloud hosting, analytics), subject to confidentiality obligations
  • AI processing: Your prompts and relevant context may be sent to third-party AI providers to generate coaching responses. These providers are contractually prohibited from using your data for any purpose other than providing the service
  • Legal requirements: When required by law, regulation, or legal process
  • Safety: To protect the rights, property, or safety ofAllPlanned, our users, or the public

Data Retention

We retain your personal data for as long as your account is active or as needed to provide you with the Service. If you delete your account, we will delete or anonymize your personal data within 30 days, except where retention is required by law.

AI interaction logs are retained for up to 12 months to improve service quality, after which they are anonymized or deleted.

Data Security

We implement industry-standard security measures to protect your data, including encryption in transit (TLS) and at rest, secure authentication via Firebase Auth, and regular security audits. However, no method of transmission over the internet or electronic storage is 100% secure.

Your Rights

GDPR Rights (European Users)

If you are located in the European Economic Area (EEA), you have the following rights under the General Data Protection Regulation (GDPR):

  • Access: Request a copy of the personal data we hold about you
  • Rectification: Request correction of inaccurate data
  • Erasure: Request deletion of your personal data

  • Withdraw consent: Withdraw consent at any time for consent-based processing

  • Right to delete: Request deletion of your personal information
  • Right to opt-out: We do not sell personal information, so this right does not apply

Children's Privacy

The Service is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will take steps to delete such information promptly.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
